What does a real estate transaction coordinator do?

Last updated October 29, 2026

A transaction coordinator, often called a TC, manages the paperwork and deadlines of a deal after the offer is accepted, so the agent can keep working with clients. TCs may be employees, independent contractors, or a service a brokerage provides.

This guide is general information for real estate professionals, not legal advice. Deadlines, names and rules differ by state, contract form and what the parties negotiated. Your contract and your broker or attorney decide what applies.

What a TC typically handles

  • Reading the contract and building the deal's timeline of deadlines.
  • Opening the file with title, escrow or the lender, and sending the contract to them.
  • Collecting documents, such as disclosures, inspection reports and the appraisal.
  • Reminding clients and other parties about what is due.
  • Tracking the deal through to closing and keeping the file complete for the brokerage.

What a TC does not do

A TC does not negotiate for clients, give legal advice, or take over the agent's duties to the client. Those stay with the licensed agent or the broker. What a TC may do for a deal depends on state law and the brokerage's rules.

Do you need one?

It depends on volume and how much of the admin work you want to hand off. A useful test: count the hours a typical deal takes you between acceptance and closing, then compare that to what you would pay and what else you would do with the time.

Many agents handle coordination themselves, especially early on or with a modest number of deals. In that case, a tool that organizes the deadlines can cover much of the tracking work. Agents who work with a TC still benefit from seeing the same timeline.

Where software fits

Software does not replace the judgment a good TC brings. It handles the repetitive part, reading the contract, suggesting deadlines for review, and sending summary emails. Bindalo is built for the agent who coordinates their own deals. See how it compares with tools built for coordinators.
